How to Set a Default Printer in Windows 11 (and Keep It)
Written by Printers Setup Editorial Team · Updated

To set a default printer in Windows 11, open Settings, go to Bluetooth & devices, then Printers & scanners, turn off Let Windows manage my default printer, select your printer and choose Set as default. Windows then sends every print job to that printer unless you pick another one in the print dialog. If the default keeps changing by itself, the automatic setting is the reason. This guide covers both, plus the older Control Panel route and a few related settings worth checking after setup.
Why the default printer matters
The default printer is the one already selected when you press Print or Ctrl+P. It is also the printer used by quick-print buttons in some apps, which print immediately without showing a dialog. If the wrong printer is the default, jobs end up on a printer in another room, in a PDF file, or in a queue for a printer that is switched off.
In a new Windows 11 installation, the list in Printers & scanners often contains more than your real printer: Microsoft Print to PDF, sometimes OneNote (Desktop) or a fax entry, and any printer Windows found on the network on its own. That is why it pays to choose the default deliberately.
How to set a default printer in Windows 11
- Select Start, then Settings (or press Windows key + I).
- Select Bluetooth & devices, then Printers & scanners.
- Scroll down to Printer preferences and turn off Let Windows manage my default printer.
- Scroll back up and select the printer you want.
- Select Set as default.
The printer’s entry now says Default under its name. If you do not see your printer in the list, it is not added yet: follow how to add a printer in Windows 11 first.
What “Let Windows manage my default printer” does
With this switch on, Windows sets the default to the printer you used most recently at your current location. On a laptop that moves between home and an office, that can be handy: the home printer is chosen at home and the office printer at work. On a desktop PC with one main printer it mostly causes confusion, because printing once to PDF or to a second printer changes the default for every later job.
| Setting | Good for | Downside |
|---|---|---|
| On (automatic) | Laptops used in several places | Default changes after you print elsewhere |
| Off (you choose) | Home PCs with one main printer | You change it by hand when you need to |
Setting the default from Control Panel
The older Devices and Printers window still works in Windows 11 and some people find it quicker:
- Press Windows key + R, type
control printersand press Enter. - Right-click the printer and choose Set as default printer.
- A green tick appears on its icon.
If Windows warns that setting a default printer turns off automatic management, confirm. It is the same setting as in the Settings app.
Choosing a different printer for one job
You do not have to change the default to print somewhere else once. In the print dialog of any app, open the Printer list and choose another printer for that job. With automatic management off, the default stays as you set it afterwards.
Each user has their own default
The default printer is stored per Windows user account. If several family members sign in to the same PC, each person sets their own default. A printer added by one user is usually available to all, but the default is personal.
Settings worth checking after you set the default
Once the default is right, two more settings save paper and frustration:
- Printing preferences. Select the printer, then Printing preferences, to set the default paper size (A4 or Letter), double-sided printing and colour or black-and-white. These defaults apply in every app. Our guide to change default print settings in Windows 11 goes through each option and why some apps override them.
- Printer name. In Printer properties, on the General tab, you can rename the printer to something you will recognise in a list, such as “Kitchen inkjet” instead of a model code.
If you have a second PC that should print to the same printer, add the printer there too, or see how to share a printer on a network.
If the button is missing or greyed out
- No Set as default button. It only appears after you turn off Let Windows manage my default printer.
- The setting is greyed out on a work PC. Your organisation may control printers through policy. Ask your IT team rather than changing it.
- The default reverts after a restart. Check the automatic setting is still off, and make sure you have only one copy of the printer in the list. Duplicate entries such as “Printer (Copy 1)” happen when a printer is added twice; remove the copy you do not use.
- The printer disappears from the list. That is an installation issue rather than a default-printer one. Our guide to installing a printer driver in Windows 11 covers reinstalling it.
Setting the default for many PCs or by command
If you look after several computers, clicking through Settings on each one gets slow. Microsoft’s printui tool sets the default from a command line: rundll32 printui.dll,PrintUIEntry /y /n "Office Printer", where /y makes the named printer the default. Turn off Let Windows manage my default printer first, or Windows may switch it back the next time you print elsewhere. The printer name must match exactly what Printers & scanners shows. Our guide to adding a printer with PowerShell shows how to combine this with installing the driver and port in one script.
Clearing out old printers first
A long list of old or duplicate printers is the main reason people pick the wrong one in a print dialog. Before you set the default, remove printers you no longer own and copies such as “Copy 1” that point at an old connection. Our guide to removing a printer in Windows 11 covers the Settings steps and how to delete leftover drivers.
Windows 10 and Mac
On Windows 10 the same switch exists under Settings, Devices, Printers & scanners; see how to add a printer in Windows 10. On a Mac, the default is chosen in System Settings, Printers & Scanners, with the Default printer menu; our Mac printer guide shows where.
Frequently asked questions
Why does Windows 11 keep changing my default printer?
The setting Let Windows manage my default printer is on. With it on, Windows makes the printer you used most recently at your current location the default. Turn it off and set the default yourself.
Why is there no Set as default button?
The button only appears after you turn off Let Windows manage my default printer, on the Printers & scanners page. Turn that switch off, then open the printer again.
Does the default printer apply to all users?
No. The default printer is stored per user account, so each person who signs in to the PC can choose a different default.
Should Microsoft Print to PDF be my default printer?
Only if you mostly save documents as PDF. It is a virtual printer, so a real paper printer is the better default for most homes. You can still choose Microsoft Print to PDF in the print dialog whenever you need it.
